AI-powered features embedded within commonly used enterprise applications—such as Microsoft 365 Copilot, Teams AI enhancements, ChatGPT and Zoom AI Companion—offer significant productivity benefits. However, their usage must align with organizational policies, legal requirements, and data governance standards.

Approved Usage
  • Permitted Tools: Employees may use AI features in organization-approved versions of Microsoft Office, Teams, Zoom, and other sanctioned platforms, provided they are configured and managed by IT or security teams.
  • Use Cases: Common acceptable uses include:
    1. Automated Documentation – AI-generated summaries, formatting assistance, and predictive text in Microsoft Word, PowerPoint, and Excel.
    2. Meeting Enhancements – Transcription, live captions, noise cancellation, and AI-generated action items in Microsoft Teams and Zoom.
    3. Data Analysis & Insights – AI-driven analytics, smart formula suggestions, and automation within Excel and other business intelligence tools.
    4. Communication & Collaboration – AI-powered chatbots, scheduling assistance, and content recommendations within Teams and Zoom.
  • Business Context Only: Use of AI features should be strictly for work-related tasks and content generations including multimodality (text, image, audio and video etc.). Personal use of AI tools within company accounts is prohibited.
  • Compliance and Ethical Considerations

    To ensure responsible AI use, employees must adhere to the following principles:

    • Data Security & Privacy – AI features must comply with organizational security policies and applicable regulations such as GDPR, HIPAA, and SOC 2.
    • Intellectual Property Protection – Users should validate AI-generated content to avoid unintended copyright violations or unauthorized data sharing.
    • Bias and Fairness – AI-driven recommendations must be reviewed critically to mitigate algorithmic biases and ensure fair decision-making.
    Data Privacy and Confidentiality
    • Sensitive Information: AI features must not be used to process, summarize, or analyze highly sensitive or regulated data unless explicitly authorized and safeguarded.
    • Data Residency and Processing: Users should be aware that AI features may involve cloud processing. IT will ensure configurations align with company data residency, retention, and access policies.
    • Third-Party Sharing: Employees must not enable or authorize sharing of AI-generated outputs or data with third-party services unless vetted and approved by the organization.
    Transparency and Accountability
    • Disclosure: When using AI features to generate content (e.g., reports, meeting summaries), users must disclose that AI assistance was involved.
    • Validation: AI-generated outputs should be reviewed and validated by users before dissemination. Employees are accountable for the accuracy and appropriateness of final content.
    Security and Compliance
    • Configuration Management: All AI functionalities must be enabled and governed through centralized IT administration. Unauthorized enabling of preview or beta AI features is prohibited.
    • Logging and Monitoring: Use of AI features will be monitored for compliance, and logs may be maintained to ensure proper usage and auditability
    • Compliance Standards: All usage must comply with relevant industry regulations (e.g., GDPR, HIPAA, SOX), internal information security policies, and contractual obligations.
    Training and Awareness
    • Employees must complete required training on the ethical and secure use of AI features within these tools.
    • Regular updates will be shared to ensure awareness of changes in AI functionalities and associated risks.
